This page sets out the terms and conditions for RCOG exams, events and social events.
Social events (College dinners)
Children under the age of 16 are regrettably not permitted to attend College dinners.
If you require a refund, please request this a minimum of 30 days before the event using the contact details below. After this period, unfortunately tickets are non-refundable.

Payment
You can pay online using a credit/debit card via our website on the individual event pages, which you can access from the events calendar. Places booked via telephone may be paid by credit/debit card or invoice. Payment from abroad should be by international bankers draft or money order in sterling. Payment in other currencies will not be accepted. We cannot accept post-dated cheques.
We regret we cannot accept payment by American Express or Visa Electron.
If you register on the day of the meeting, please note we can only accept payment by cash or credit/debit card (no cheques).
All fees must be paid in full before the meeting. The RCOG reserves the right to refuse admission in the event of non-payment.
Requesting an invoice
Please refer to our FAQ page for information on how to request an invoice for your course/event fee.
We cannot accept any invoice requests 6 weeks before the event due to processing time, All invoices must be paid in full by the event date in order for the attendee(s) to attend.
If payment is not received by this date, attendee(s) will not have access to the event/course and will need to pay the outstanding registration fee before gaining access.
Alternatively, if your hospital or trust has a credit card, payment can be made via this method.
Confirmation of your booking
Booking online provides you with immediate confirmation of your place and receipt of payment by email. Places booked by telephone will be confirmed within 5 working days of receipt of payment. You are not guaranteed a place until you receive this confirmation.
If you have not received your booking confirmation email, please contact the RCOG Events Team via email events@rcog.org.uk or call on +44 20 7772 quoting your RCOG college number, full name and name of event/course.

Cancellations Terms
All cancellations must be received in writing to the RCOG Events Team on events@rcog.org.uk. It is the responsibility of the attendee to ensure the RCOG Events Team has received the written cancellation a minimum of 2 weeks before the course/event.
A standard administrative charge of £25 will be made on all cancellations received up to 2 weeks before the course/event. We regret that refunds cannot be issued on cancellations received less than 2 weeks before the course/event.
Substitutions are welcome at any time prior to the event/course in question in writing to RCOG Events Team events@rcog.org.uk.
No refund will be made for non-attendance.
If it is necessary to convert an in-person course/event to a virtual course/event, we will contact all registered attendees giving them the option to convert their registration to the virtual course/event and refund the difference between your in-person registration fee and the virtual registration fee. Alternatively, affected attendees will have the option to request a full refund.
Please note that the RCOG is unable to pay any travel or accommodation, or other costs related to cancellation, change of date, or change to a fully virtual event of course/event for any other reason, including, but not limited to, any travel disruption, visa related issues, unforeseen circumstances, personal illness or Covid-19 related issues. It is the attendee’s own responsibility to arrange their own insurance, should they require it, to cover for any travel, accommodation, or other cancellation costs.
Please note that the RCOG reserves the right to refuse admission to our courses/events at its absolute discretion to any person or persons where it considers it is appropriate to do so in the interest of the course/event and the RCOG.
Visa requirements
It is your own responsibility to check any visa requirements for entry into the UK for the period of the course/event you are attending and apply for a visa yourself, in plenty of time to travel to, and attend the course/event in question. The RCOG cannot take responsibility for declined visa applications, or applications not processed in time, for delegates to attend in person.
If a visa letter of invitation from the RCOG is required, we will only issue one to attendees who have paid all registration fees in full. A letter of invitation must not be considered as an official invitation covering fees and other expenses; its purpose is only to support the visa application. Letters of invitation can ONLY be issued to registered attendees for the course/event, not accompanying persons. It is your responsibility to ensure that any request for a visa letter of invitation is made in time. The RCOG does not guarantee the effectiveness of any visa letter of invitation.
If a visa application is declined and the RCOG Events team are advised in writing to events@rcog.org.uk, the cancellation policy above will be applied.
Continuing professional development (CPD)
For those registered on the RCOG CPD Programme.
CPD users can freely select and record the number of credits for this event. Further credits are available for reflection and action following the activity (1 credit for reflection and 1 or 2 credits for action). For further guidance, please refer to the RCOG CPD Framework.
For those not registered on the RCOG CPD Programme
Each course/event have their own number of hours of learning. This can be found on your certificate of attendance. You need to confirm with the institute, which manages your CPD programme how to claim CPD credits for this learning.
We will provide certificates of attendance in an electronic format.
Data Protection
The details you provide on the booking form will be held and processed electronically in order to administer your registration. If you consent, your name, department, hospital name and town will be included on the list of participants issued to delegates, speakers, sponsoring companies and other interested parties involved in the conference.
We will keep your contact details on record in order to inform you of future RCOG conferences and courses. If you do not wish your details to be used in this manner, please tick the appropriate boxes on the registration form.
Photography
Please be aware that a photographer may have been commissioned by the College to take photographs at some of our events.
These photographs may be included in the College’s educational, promotional and corporate publications and on our website. They may also be circulated in the media and be made available to other interested parties.
The RCOG respects the rights of individuals in the collection and use of photographs and video. Where images are captured at an event, appropriate signage or printed warnings will be clearly displayed. If you have any questions or would like to opt out of scheduled photography, please contact a member of staff at the registration desk during the event you’re attending. More information about how the College stores and uses personal data, including images, is available in the following RCOG policies:
Retired RCOG Fellows and Members
Retired RCOG Fellows and Members are entitled to a 50% discount off the RCOG member rate registration fee (please state if you are retired at the time of booking). To qualify for the discount you must be registered as retired with the RCOG and must book with the Events Team over the phone. If you need to update your status, please contact Membership Services.
Recommended system requirements (virtual events only)
We recommend that all virtual attendees use either laptops or computers with a stable internet connection with a minimum speed of 5mbps.
Google Chrome is the browser of choice as the platform is optimised to run on this web browser.
We also recommend using a laptop or computer with a minimum i5 processor with 8GB RAM.
The virtual platform is not optimised for use with an iPad or other tablets, and although some features may work others may not.
You will not be able to use the platform using a mobile phone as the screen will be too small to view the content.
The RCOG cannot accept responsibility for attendees’ poor internet connection or attendees’ own technical difficulties on the day of the course/event; therefore, no refunds will be given for such circumstances. Please note that whilst the RCOG takes all reasonable care to ensure there are no breaks in the transmission of its courses/events, it does not accept any liability for any breaks or interruptions beyond its control.
